xls2erp turns every Excel sheet into a SAP posting
template. Because we believe double entry
accounting should not mean you have to record
every document twice.

You know this: your employees enter travel and other
expenses in Excel spreadsheets. Only then does the
accounting department come into action. Accounting
has to check all the data and manually transfer this
to the SAP system. This means that all information
is processed at least twice. Often, the values in
accrual / deferral documents for rents, insurances,
allocations, royalty and management fee settlements
and the like are also calculated in Excel and then
posted manually in SAP. The whole thing just got
much easier. With xls2erp, the add-in for Excel that
transfers data from any Excel spreadsheet to your
SAP system. Childishly simple and at the touch of a

– once only

xls2erp makes it easy to record documents in every respect. An amount only has to be
entered or calculated in Excel once. Transfer
to the SAP system takes place automatically.

Taking an expense report as an example, the
process is as follows: In a first step, the employee
records his expenses in Excel. In familiar tables,
with known formulas, layouts and forms, in your
corporate design, with your fields and details.
You can also use your existing Excel files. So everything remains exactly as before – and
exactly as you need it. To enter the data, the
employee needs neither a SAP connection, nor
a SAP license.

Once the information has been entered, the employee sends the Excel spreadsheet, including all
attachments such as scanned original documents,
to the accounting department. In the next step,
accounting checks the record as usual and then –
with the simple touch of a button – loads it into
the SAP system. The attachments can be uploaded
at the same time. Done.
All information is posted correctly. Errors due to the
manual re-entering of data are a thing of the past.
The attachments can be linked directly to each
posting document in SAP. So the calculation of the
numbers is traceable at all times, and you can display the original documents directly from SAP.

Simplicity

xls2erp is so easy because you can do everything
in Excel. Quite simply, in the familiar environment
of Excel and with the familiar formulas, layouts
and forms. You can use all the functions of Excel –
there are no limits to your own solutions, from
“simple” to “sophisticated”.

Speed

Including the specialist department. Because, with
standard knowledge of Excel, it can design and
alter posting templates and forms. Limited IT
resources or expensive specialist knowledge
are no longer required. You can get started after just one day of training.

Security

Because each number is only recorded once, there
are no longer any errors when transferring the data.
In addition, each source fi le can be automatically
stored in the system; this makes numbers traceable
and considerably simplifi es auditing and controlling.
The standard authorization check by SAP ensures
that only those who are allowed to post can do so.

The xls2erp add-in comes with its own ribbon. The functions are clearly arranged and easily accessible. In addition to the core posting functions, further tools

are available which facilitate the daily work routine, such as for downloading master data (chart of accounts, vendors, etc.) to Excel.

The function xls2sap()

With this function, every Excel
sheet becomes a posting
document. At the touch of a
button the formulas are read out and a posting document is generated from them.

One click on the button “Post” and, after the standard checks have been carried out in SAP, the document that has just been created is posted. Errors are written to a separate log worksheet.

scenario. Imagination knows no bounds: Any
number you calculate in Excel can be recorded
in SAP.

You can use the formulas of xls2erp as
required anywhere in a new or existing Excel
spreadsheet. With no macros or programming
whatsoever.

xls2erp makes every task child’s play:

  • Recording of expenses Employees record their own expenses in an Excel form – e.g. travel expenses, telephone costs etc.
  • Postings to general ledger, vendors and customer accounts are supported
  • Credit card statements
  • Preparation of accrual / deferral documents
  • Charging of accounts between group companies
  • Settlement of management fees, e.g. sales-based
  • Expediting cost allocations to various accounts, departments and / or cost centres
  • Reading of account balances and individual accounts (including running balances)

What do I need for xls2erp?

Requirements for using xls2erp

  2. SAPGUI in a current version or SAP RFC-DLL only
  3. Microsoft Excel as of version 2007
  4. Windows as of version 7 (32-bit or 64-bit)
  5. RFC authorization in SAP

Different installation scenarios

  1. As a local installation (including via software distribution)
  2. Installation on Citrix or a terminal server
  3. Application virtualization (e.g. with Microsoft App-V)

Installation and training

Depending on the chosen scenario, the installation is
carried out directly by the user or centrally by the IT
department. For training, a workshop of half to one
full day has proven to be sufficient. You also create
your first in-house applications at this time. You can
use xls2erp productively after just one day. We are, of
course, also available with advice and support after
this time, if necessary.
